Why sourcing in Australia is different
These decide the channel, the language and the realistic start date.
The Spam Act recognises inferred consent
Commercial electronic messages require consent, which can be express or inferred. Inferred consent can arise where a work address is conspicuously published without a statement refusing such messages and the message is directly relevant to that person’s role. Sender identification and a functional unsubscribe are mandatory in every case. Relevance is the test, so volume campaigns fail it.
Packages are quoted including superannuation
Australian roles are commonly advertised as a total package including the employer superannuation guarantee, which rose in steps to 12 per cent of ordinary time earnings from 1 July 2025. An offer that does not state whether it is base, base plus super or total package is not comparable with the candidate’s current position.
Modern awards reach further than most employers expect
Fair Work Commission modern awards set classification-based minimum pay and conditions across a wide range of industries and occupations. Where an award applies, the classification is part of the conversation, not a technicality.
Five capitals, three time zones
Perth sits two to three hours behind the eastern seaboard depending on the season. For a national role that is an operating constraint, and it genuinely affects whether a Perth candidate will take a Sydney-reporting job.
Supply in named occupations is visa-dependent
In healthcare, engineering, technology and parts of the trades, a meaningful share of supply comes through skilled migration. Sponsorship capacity and processing times are real constraints, and we establish visa status and work rights during qualification.
Clearance and registration gate whole populations
In Canberra and Adelaide, security clearance rather than salary decides who can take a role. In clinical roles, AHPRA registration does. Neither is visible from a profile, so both are qualification questions.
What is lawful when approaching candidates in Australia
Electronic-marketing law differs sharply between our markets. We work to the local rule, not to a single global playbook.
| Channel | What applies | How we work |
|---|---|---|
| Commercial electronic messages | Spam Act 2003 — express or inferred consent, sender identification and a functional unsubscribe are mandatory | Targeted and genuinely role-relevant, sender identified, unsubscribe honoured permanently |
| Inferred consent | May arise where a work address is conspicuously published and the message is relevant to the role | Relied on only where the role genuinely matches; no volume campaigns |
| Telephone | Do Not Call Register Act; ACMA enforces | Business numbers, manual dialling, during the candidate’s working hours |
| SMS | Spam Act applies as to email | Only where the number was given for that purpose |
| Candidate data | Privacy Act 1988 and the Australian Privacy Principles | Professional data only, sourced and dated; we apply the stricter of local law and our global policy |
| Discrimination | Fair Work Act and federal anti-discrimination law | Criteria defined on capability; no age, origin or gender filters |
Where candidates actually respond in Australia
Observed from our own campaigns, not from a vendor survey.
| Population | Best channel | What we see |
|---|---|---|
| Mining, resources and energy (WA, QLD) | Phone, then email | FIFO roster patterns dictate when someone can actually talk |
| Financial services and superannuation (Sydney, Melbourne) | Email, with the package basis stated | Candidates expect total package including super up front |
| Technology and digital | Direct message, specific | A small market where reputations and references circulate quickly |
| Healthcare and clinical | Email plus professional routes | AHPRA registration status gates everything |
| Defence and national security (Canberra, Adelaide) | Formal email | Clearance level established before anything else |
| Infrastructure and construction | Phone, during site hours | Project cycles drive availability more than salary |
How long before a candidate can actually start in Australia
The number that decides whether a hiring plan is real.
| Situation | Typical notice | Add for |
|---|---|---|
| Award-covered roles | 1–4 weeks | Per the National Employment Standards and the award |
| Professional, mid-level | 4 weeks | Annual leave |
| Senior and management | 4–12 weeks | Handover; restraint periods |
| Executive | 3–6 months | Restraint and board transition |
| Intercity relocation | Add 4–8 weeks | Housing, schooling and a partner’s career |
| Visa-dependent | Varies | Sponsorship, nomination and processing |
| Cleared roles | Notice plus clearance action | Clearance transfer or sponsorship by the new employer |
What a Australia sourcing engagement delivers
- A written sourcing brief — the role, the target population, the must-haves separated from the nice-to-haves, and the explicit exclusions.
- A longlist of qualified, verified people — identified by research rather than pulled from a database, with current employer, level and location confirmed.
- Compliant outreach — approaches made in the channel and the language the market actually responds to, inside the local electronic-marketing rules.
- Qualified candidates with a written summary — motivation, notice, salary expectation, location and any restriction, captured before you spend interview time.
- A response and decline record — who was approached, who engaged, who declined and the reason each gave. This is the clearest read you will get on how your role and package are landing.
- Weekly written updates with the pipeline attached, not a monthly summary.
- The full dataset, handed over — yours permanently, including the people who said no this time and may say yes next year.

What talent sourcing costs in Australia
Fixed project fees or an agreed day rate — never a percentage of salary.
| Engagement | What it covers | Typical fee | Typical duration |
|---|---|---|---|
| Single-role sourcing project | One role, one capital-city market | A$5,500–A$12,500 | 2–4 weeks |
| Multi-role or multi-state campaign | Several roles, or a national population | A$16,000–A$45,000 | 4–10 weeks |
| Dedicated sourcing seat | A named researcher working only your roles | A$8,500–A$15,000 per month | Rolling monthly |
Our out-of-hours desk works Australian projects while your office is closed, so candidate progress and questions arrive at the start of your day rather than the end of ours. For Australian clients that usually compresses a campaign rather than extending it. See out-of-hours coverage.
Every engagement is a fixed project fee or an agreed day rate, set before work begins. There is no commission, no percentage of salary and no placement fee, and the dataset is handed over permanently. The fee comparison calculator shows what that difference comes to against a contingency model.
Australian talent sourcing FAQs
Is cold email to Australian candidates legal?
Commercial electronic messages require consent under the Spam Act 2003, but consent can be express or inferred. Inferred consent can arise where a work address is conspicuously published without a statement refusing such messages and the message is directly relevant to that person’s role.
Sender identification and a functional unsubscribe are mandatory in every case. Because relevance is the test, genuinely targeted recruitment outreach is workable here in a way that volume campaigns are not. Calls are governed separately by the Do Not Call Register Act.
What is talent sourcing in Australia?
The identification, qualification and engagement of candidates for live roles across the capital-city markets: a researched longlist state by state, approached within the Spam Act and Do Not Call rules, with visa status, package expectation and relocation willingness established before interview.
How much does talent sourcing cost in Australia?
A single-role project typically costs A$5,500 to A$12,500. A multi-role or multi-state campaign typically costs A$16,000 to A$45,000. A dedicated sourcing seat typically costs A$8,500 to A$15,000 a month.
Should the package be quoted including superannuation?
It should at minimum state the basis. Australian roles are quoted inconsistently, and the superannuation guarantee rose in steps to 12 per cent of ordinary time earnings from 1 July 2025.
We always state whether a figure is base, base plus super or total package, so a candidate can compare it with their current position without arithmetic.
Do you work Australian hours?
Effectively, yes. Our out-of-hours desk works Australian projects while your office is closed, so candidate progress and questions arrive at the start of your day. For Australian clients it usually compresses a campaign rather than extending it.
Why do you treat each capital separately?
Because they are separate markets. Perth runs on resources, Canberra on government and national security, Sydney on financial services, Melbourne on a broader commercial and health base, Adelaide on defence.
Intercity relocation at professional level is a genuine cost and willingness constraint, so we report relocation willingness as evidenced rather than assumed.
Can you check work rights?
We establish visa status and work rights during qualification so the shortlist is appointable, including whether sponsorship would be required.
The formal VEVO check is the employer’s responsibility before employment begins. We flag what will be needed; we perform the statutory check only where it is contracted as part of recruitment support.
How do modern awards affect sourcing?
Where an award applies, it sets a classification-based minimum for pay and conditions, and the Fair Work Commission’s awards cover a wider range of occupations than most overseas employers expect.
We identify whether an award applies and at which classification before benchmarking, so an offer sits correctly against the floor.
Can you source cleared candidates?
We can identify and approach them within the limits of what is publicly observable. In defence and national security, clearance level rather than salary decides who is appointable, and we establish it during qualification rather than at offer.
How do you handle FIFO roles?
By treating the roster as a primary qualification question rather than a detail. A two-and-one roster and an eight-and-six roster draw from different populations with different family situations, and candidates self-select on it before salary.
What do we receive at the end?
Qualified candidates plus the working file: the brief, the state-by-state longlist with employer and level verified, the approach and decline record, and a written qualification summary per candidate including work rights and relocation willingness. Yours permanently.
