What makes hiring administration in Australia different
These are the items that most often delay a start date or create a liability.
Work rights are checked through VEVO
Employers verify visa status and work conditions through the Department of Home Affairs VEVO service. Visa conditions can limit hours or occupations, so checking status alone is not enough — the conditions matter.
Fair Work record-keeping is prescriptive and audited
Employee records and pay slips must contain specified content and be kept for seven years. The Fair Work Ombudsman audits, and record-keeping failures attract penalties independent of any underpayment.
Working with Children Checks are state-based
Each state and territory runs its own scheme with its own name, validity period and portability rules. A check in one state does not automatically cover another, which catches out national employers constantly.
Clinical registration is national but conditional
AHPRA registration is national across the regulated health professions, but registration type, endorsements and conditions vary by practitioner and must be verified on the public register rather than assumed.
Award classification is part of onboarding
Where a modern award applies, the classification determines minimum pay and conditions. Getting it wrong at hire creates a back-pay exposure that compounds.
The Australia hiring compliance checklist
Published because it is the most useful thing a support provider can give you before you buy anything. Confirm current requirements with the primary sources below before you rely on them.
| Requirement | What applies | When | Note |
|---|---|---|---|
| Work rights | VEVO check via the Department of Home Affairs | Before employment | Visa conditions may limit hours or occupation |
| Record-keeping | Fair Work employee records and pay slips | From the start of employment | Prescribed content; seven-year retention |
| Criminal history | National Police Check | Role-dependent | Spent convictions rules vary by jurisdiction |
| Working with children | State and territory schemes | Before relevant work | Not automatically portable between states |
| Clinical registration | AHPRA national register | Before practice | Verify type, endorsements and conditions |
| Award classification | Fair Work modern award | At hire | Determines the minimum; errors create back-pay exposure |
What a Australia support engagement includes
- Research and name generation — longlists built to your brief, so your consultants spend their time on conversations rather than on searching.
- Screening and qualification support — first-stage calls against your criteria, with a written summary per candidate covering motivation, notice, expectation and any restriction.
- Compliance and credentialing — right-to-work evidence gathering, registration and licence verification, reference chasing and document collection, tracked to a checklist you can audit.
- CV formatting and data cleaning — candidate documents reformatted to your template, and ATS or CRM records deduplicated and brought up to date.
- Interview coordination — scheduling across time zones, confirmations, reminders and rescheduling, so nothing sits in an inbox overnight.
- Pipeline maintenance — keeping warm candidates warm between requisitions, with contact and status records kept current.
- Out-of-hours desk cover — work progressed while your office is closed, so candidates get an answer the same day they ask.
- Reporting — a weekly written update with the pipeline and the compliance checklist attached.
Three ways to buy support in Australia
| Model | Best for | Typical fee |
|---|---|---|
| Project support pack | A defined hiring programme or a seasonal peak | A$3,600–A$9,000 |
| Dedicated support desk | Continuous cover — a named team working only your roles | A$7,000–A$14,000 per month |
| Per-candidate screening and credentialing | Variable volume, paid only for what you use | A$460–A$820 per candidate |
Sectors we support in Australia
Heaviest where the credentialing burden is heaviest.
- Healthcare and clinical — the heaviest credentialing burden of any sector, and where support pays for itself fastest. See locum recruiting.
- Financial and professional services — regulated references, screening standards and audit trails.
- Technology and engineering — high-volume screening against technical criteria.
- Industrial, logistics and operations — volume hiring with right-to-work and document collection at scale.
- Public sector and defence — clearance-adjacent evidence gathering and record-keeping.
- Recruitment and search firms — white-label back office so consultants stay billing.
What recruitment support costs in Australia
Fixed project fees or an agreed day rate — never a percentage of salary.
| Engagement | What it covers | Typical fee | Typical duration |
|---|---|---|---|
| Project support pack | A defined hiring programme or seasonal peak | A$3,600–A$9,000 | Per programme |
| Dedicated support desk | A named team working only your roles | A$7,000–A$14,000 per month | Rolling monthly |
| Per-candidate screening and credentialing | Paid only for what you use | A$460–A$820 per candidate | As used |
Recruitment support is never priced per hire. That matters here because the compliance work happens whether or not someone is appointed — a candidate who fails a right-to-work check or a registration verification has still consumed the same administrative effort, and a per-hire model quietly makes that someone's loss.

Australian recruitment support FAQs
What is recruitment support in Australia?
It is the set of services that sit around a hiring process rather than replacing it: research and name generation, screening support, right-to-work and credentialing evidence, CV formatting and data cleaning, interview coordination, pipeline maintenance and out-of-hours desk cover.
What makes australian hiring administration different?
VEVO work rights, Working with Children Checks and AHPRA registration are the three Australian gates that most often delay a start.
The compliance checklist on this page sets out what applies, when it has to happen and what the common failure is. It is the part of hiring that varies most between markets and gets planned for least.
Is this the same as RPO?
No. Full-scope RPO takes ownership of your requisitions, your ATS, your candidate experience and usually prices per hire. We provide the research and support layers behind your team or alongside an incumbent RPO provider, on a fixed fee.
If you need a provider to own the end-to-end process under a per-hire contract, full-scope RPO is the right purchase and we will say so. The comparison is on our RPO page.
How much does recruitment support cost in Australia?
A project support pack typically costs A$3,600–A$9,000. A dedicated support desk typically costs A$7,000–A$14,000 a month. Per-candidate screening and credentialing typically costs A$460–A$820 per candidate.
There is no per-hire fee and no percentage of salary on any of it.
Do you carry out the statutory right-to-work check?
We gather and track the evidence, chase the documents, verify registrations and licences against the relevant public register, and maintain the audit trail. Where a check is a statutory employer duty, the employer performs it — we make sure nothing is missing when they do.
Where a check can lawfully be delegated and you want us to run it, that is agreed explicitly in the scope rather than assumed.
Can you work white-label behind our agency?
Yes, and a large share of this service is bought that way. Candidate-facing communication goes out in your name, documents use your template, and we never contact your client.
It is how a recruitment firm carries back-office capacity as a variable cost rather than permanent headcount.
Do you work in our ATS?
We can work inside your system under your access controls, or work alongside it and hand records back in a format you can import. Which one is agreed at scoping, along with who owns data hygiene.
What we do not do is take ownership of the system or the requisitions in it.
What does out-of-hours cover actually mean?
Work progressed from our Mumbai desk while your office is closed: screening calls to candidates in their evening, document chasing, scheduling and record updates.
For Australian clients it usually means a candidate who asks a question at five o’clock has an answer waiting at nine. See out-of-hours coverage.
How do you handle candidate data?
Professional and process data only, held to the regime that applies in the market being worked, with a defined retention period and a documented lawful basis.
Where we handle your candidate or employee data on your instructions we act as processor under Article 28 terms. The full position is on our GDPR compliance page.
What do we get at the end?
The completed work and the audit trail: the compliance checklist per candidate with evidence attached, screening summaries, formatted documents and the updated records.
All of it is yours. In a sector with a credentialing burden, the audit trail is frequently worth more than the time saved.
Can you handle a seasonal peak rather than ongoing work?
Yes, and it is one of the commonest reasons clients start. A project support pack covers a defined hiring programme or peak with no ongoing commitment, and converts to a monthly desk only if you want it to.
Do you replace our recruiters?
No. The point is the opposite: your consultants and in-house recruiters stay on the conversations that need judgement, and the administrative load moves to a desk that is set up for it.
Clients who try to use this to replace recruiters are usually solving the wrong problem, and we will say so.
